
TERMS & CONDITIONS
When hiring the Video Messages Guestbook from us, you do so in accordance with the outlined terms and conditions. By paying all or part of your invoice, you are entering into a hire agreement and accepting full responsibility that these terms and conditions will be strictly followed. Please read the following carefully:
1. Definitions
“Customer”, “you” and “your” refer to the person(s) who booked and paid for the Video Messages Guestbook.
“Guest(s)”, “Adult(s)”, “Person(s)”, “Guardian(s)”, “Child” and “Children” refer to the personnel attending your event and using the Video Messages Guestbook.
“We”, “team” and “us” refer to Video Messages Guestbook T/A Wedding Video Essex Ltd (the company) who are providing the service to the customer.
“Event” and “Venue” refer to the physical location where the service will take place for the customer.
“Video Messages Guestbook”, “Equipment” and “Item” refer to the items you are hiring for the outlined time, which are solely owned by Video Messages Guestbook T/A Wedding Video Essex Ltd.
2. Access, Space & Power Requirements
The Customer must arrange for an appropriate, clear space to be made available for the Video Messages Guestbook at the event venue.

Space required: 2.5m (W) x 2.5m (L) x 2.5m (H)

Access to a 240-volt mains power socket within the designated space

Access to the venue 1 hour prior to the scheduled start time for setup

Access to the venue 30 minutes after the runtime for pack down

For outdoor events, suitable cover must be provided to protect from rain and adverse weather

A clear path into the venue free from obstruction
3. Parking
We require suitable parking close to or on-site at the venue.
4. Booking and Payment
Bookings can be made via our website, email, or phone/WhatsApp.

If you wish to proceed with your quote/booking, please confirm via email, and we will issue your invoice.
​
A £50 non-refundable deposit must be made to secure your event date via the payment methods on your invoice. If there are fewer than 7 days before your event, full payment must be made.
​
The remaining balance must be paid at least 7 days before your event date.
​
You will receive a payment confirmation email after each payment. Please check your inbox (and junk/spam folders).
​
Check all booking details carefully. If any information is incorrect, notify us immediately via email at hello@weddingvideo.co.uk.
5. Amendments / Rescheduling
If you need to change your booking date, time, location, or package, please notify us via email at hello@weddingvideo.co.uk.

We will always try to accommodate your request, but this cannot be guaranteed and depends on availability.
Rescheduled dates must be within 6 months of the original date.

If we are unable to accommodate your request and you no longer wish to proceed, please refer to our cancellation policy below.
6. Cancellation
If you wish to cancel your booking, notify us via email at hello@weddingvideo.co.uk.
Refund entitlements:

Cancellations made more than 7 days before your event will forfeit the £50 non-refundable deposit.

Cancellations made less than 7 days before your event will receive a 65% refund (excluding the £50 deposit).
7. Video Capturing, Sharing & Social Media
By using the Video Messages Guestbook, you and your guests agree to being recorded.
Parents/guardians are responsible for their children at all times. By allowing a child to use the booth, consent is deemed granted for video recording.

If you do not wish for your child’s video to be included in any gallery or social media, please inform a team member at the event or email hello@weddingvideo.co.uk after the event.
​
All video content captured at your event will be available to you and your guests to keep, share, and use freely.
Video Messages Guestbook T/A Wedding Video Essex Ltd may use clips from your event on social media or our website. It is your responsibility to make your guests aware. If you wish to opt out, email us directly at hello@weddingvideo.co.uk.
8. Delays / Late Starts
If setup or start time is delayed due to venue access issues, incorrect information, or customer delay, we will continue the booking once resolved, but the original end time will remain.

If our team is delayed due to unforeseen circumstances, we will extend your hire time accordingly — you won’t lose any time you’ve paid for.
9. Age Restrictions
Children under 10 must be supervised by an adult when using the booth.

Children are not permitted in the designated booth area unsupervised.
10. Behaviour and Misuse
Use of the booth while heavily intoxicated or under the influence of drugs is strictly prohibited. Our team reserves the right to refuse access to anyone deemed unsafe to use the equipment.

Do not touch or interfere with the equipment while in operation. Grabbing or obstructing the camera/mount can cause serious damage.
Abuse or threatening behaviour towards our team will not be tolerated. If this occurs, we reserve the right to terminate services immediately.
11. Damage to Equipment
You are responsible for any damage or theft caused by you or your guests.

Any damages will be documented, and an invoice for repair/replacement will be issued, payable within 14 days. Failure to pay may result in legal action.
12. Risks / Injury
While the Video Messages Guestbook is a low-risk item, use is at your own risk. Video Messages Guestbook T/A Wedding Video Essex Ltd will not be liable for any injury, death, or damage to property resulting from misuse.

By using our service, you acknowledge that you and your guests are responsible for safe operation of the equipment.
13. Agreement
All hired equipment remains the property of Video Messages Guestbook T/A Wedding Video Essex Ltd.
The Hirer is the person(s) named on the invoice.

By paying your deposit, you confirm that you have read, understood, and agree to these Terms & Conditions in full, and that your guests have been made aware of them.
